About Taging

Hi Team,

I hope you’re doing well.

I am trying to view all the tags we’ve created in one place so that I can review and delete the extra or unused ones. However, I am not able to see a complete list of all tags at once.

Could you please guide me on how to:

  1. View a full list of tags across all projects, and

  2. Delete the tags that are no longer needed?

I don’t think this is possible. I look at tags as a kind of demo version of custom fields.

As everyone can just add new tags I don’t even think it would be worth trying to maintain or clean-up.

For professional use I’d reccommend using custom fields for any categorisation. Add them to the library to use for multiple projects, and you can specify editors (even teams) in the custom field settings.

Custom fields are available on any paid plan.

One more question – if I create a custom field or apply a tag to a task, is there a way to ensure that only Admins or selected users can edit or remove that tag once it has been applied?

This would help us maintain process integrity and prevent accidental changes.

There is for custom fields. Under Project permissions you can restrict custom field modifications.

This is an Enterprise(+) feature.

A workaround for other plans (that doesn’t lock but makes changes visible) would be to notify collaborators upon custom field change, or create a rule that triggers upon field change and adds a comment to tag the task creator.

I’m not really sure what it is you mean exactly.

The restrictions (selecting custom field values) are set per project.

The access rights (changing custom field settings) are set per custom field.

I meant, can we change the Project’s Manage Permissions? (It’s faster to improve multiple projects simultaneously than to improve a single one).

No, to my knowledge you cannot change this for multiple projects simultaneously, as this is a per-project setting.
