Ability to assign Project Roles when converting a task to a project using a template (manually or via a rule)

Right now roles in the Overview are not used for anything (as far as I know)…

I am trying to convert a task to a project using a template. When I select the template I noticed that I can set the due date but cannot specify any of the project roles that I pre-set within the template. Are you only able to set project roles when you create a project from scratch via a template?

I’m afraid you’re correct, @natasha.mohiuddin

I’ve merged your post into an existing topic where you can click the title to scroll to the top and vote by clicking the Vote button.

Upvoting as a critical missing piece!

In my opinion, it really is a basic functionality that should exist when project templates contain Project Role. Let’s have this on the roadmap Asana :folded_hands:

Trigger:

  • Task is converted to project via rules; or
  • Task is converted to project manually

Condition:

  • Check that project template contains project roles

Action:

If project template does not contain project roles:

  1. Create project from template
  2. Mark triggering task as complete

If project template contains project roles:

  1. Display project role assignment page to allow assign of users to role
  2. Create project from template
  3. Mark triggering task as complete

I assume you think this should this be displayed to the rule triggerer?

And what should happen if this is some time after the rule is triggered, and the person triggering it has closed Asana?

Most logical solution - to me - would be to utilise people fields to fill the roles automatically.

Very good point @Jan-Rienk! I guess there are a few different other pathways to consider which will impact the expected behaviours.

Come on, Asana team! We need this feature. Almost all of our projects are created by conversion from a task, and the templates have project roles that are assigned specific tasks. It is so tedious to add people to respective tasks after the project is created, and we really need this feature.

Really happy to see this (finally) tagged in-development and curious to see what the final feature will look like! Let’s go Asana

Btw, I’m available for any early feedback

@Jan-Rienk @Zhamatix Interesting ideas for how this automation would work and I can see how both would work in different scenarios.
I agree that there needs to be role based people fields that autofill into the project template when triggered to be created. This solution is the most robust and provides better redundancy in my opinion.

You could even extend the use case to create rules to assign tasks based off the variable field [role], much like you can change task details to reflect existing task information. For example you can trigger a rule to change the task name based on a field value.
Role based fields would allow to change assignee, or @ mention specific roles in comments based on the role field value. - Create Rule to allow assignment of tasks based on project “role”

That’s my 2 cents anyway! - Excited to see this how this update rolls out
