Why am I seeing people not member of my team in the assignee drop down menu?

There is a team member on our team which I (admin) have not added, nor does she work at our company. She is not part of the member list, but when I want to assign a task to one of my team members, this person displays in the drop down list.

Welcome to the Community! The suggested assignee list will provide options from everyone who’s a member of your organisation, whether or not they’re actually a member of your team. So, in my organisation I have a private team that requires permission to access. However, I still have the option to add anyone from our organisation to a project as a limited access member, without giving them full access to our team.

Since Cheryl Bense is a member of your organisation (same email domain), her name will come up in the list but she won’t be able to access anything unless you add her.

I can see that Cheryl shares the same email domain than the rest of your colleagues, so I guess she is a member of your company, an I correct?
In Asana, anyone sharing your email domain (ie: @mycompany.com) can automatically join your Organization (when they do, you will see their name in the Assignee drop-down menu). you can learn more about this in the following article: https://asana.com/guide/help/organizations/basics

From what I can see on your screenshot you’re the only member of this project (https://asana.com/guide/help/projects/people), so Cheryl definitely can’t access it, no worries there! However if you’re working for a large company, I would recommend adjusting your Team permissions to make sure taht only your team members can access your projects!

This Cheryl person worked at the company but was over 10 years ago. I am not sure why she now appears as an assignee?

We are the only 6 people in an organisation of 80 people using Asana. Nobody else uses it, not sure why she appears if I haven’t invited her?

People using your domain Organisation don’t need to be invited, because they share your domain they can join the Organisation automatically: https://asana.com/guide/help/organizations/basics

But if this person isn’t working at your company, you can remove them from your Asana Organization following these steps: https://asana.com/guide/help/organizations/basics#gl-free-depro :slight_smile:
