Tracking deadlines automatically so that we can advise clients if they are going to be late

I have been on this too long and now can’t think straight.

I’d like some automatic way to send a notification the task owner if a deadline is on track the day before it is due. The notification will ask if the task is still on track or not. If they respond “no”, an admin is advised so that they can advise the client.

The only way I can think to do this is to set a report for all tasks with a due date “tomorrow” and have an admin check that report every day, which is kinda a painful process.

Anyone care to put me out of my misery?

Thanks team.

Hi Andrew,

If I understood well you should be able to do it with two rules:

One to add a approval subtask a day before the due date

One to add a comment to mention the Admin if the approval status is Rejected (“No” for you)

Hope it helps!

@Thaïssa_iDO Yikes, that looks good! Let me try this out and see how we go.

Thank you!

@Thaïssa_iDO Do you know if it is possible to do this universally across all tasks (i.e. one set of rules encompassing all projects)? It seems I can only do these rules project to project.

Thanks again.

If you have an Enterprise plan you can use bundles to help you set up the rules across all your projects, if not unfortunately I can’t see another solution.

Best

Another option (not requiring Enterprise) could be to specify the rule in the My Tasks of each person who might be an assignee of such tasks needing this behavior. (I haven’t tested this, FYI.)

A note on the smart solution provided earlier in case it wasn’t clear. The comment for the Admin is actually added to the approval subtask, not the parent task’s comment thread.

Thanks,

Larry
