I just took the class of crossfunctionals workflows and it was amazing. However I am still wandering and need your help.
My goal is to automatically send an email with an attachement when I recieve a form with a specific custom-field (e.g. Type of request) selection (e.g. Event).
My first idea was to create a task model for my events (with attachement) then create a rule that sends an email with it “from the task” to the form sender.
Or, send an email with a attachement but I don’t see the option.
I don’t know if my explanations are clear and hope someone can help.
Hello Turchi and welcome to the Asana Community Forum. Thank you very much for your feedback. Based on what you posted, I’m seeing two needs: trigger an email only when the form’s type of request is “Event”, and include a file attachment. You’re super close with your plan, but there are a couple limitations to be aware of:
Built-in option today: form confirmation email. If your form collects an Email field and you enable the confirmation, Asana can auto email the submitter with a custom message. It won’t include attachments, but you can point them to a shared file or the task.
Rules with Gmail or Outlook: You can set a rule like “When the type of request is ‘Event’, then send an email.” This sends a plain email you can customize and you can pull in task details, but attachments from the task are not included.
Task template idea: You can absolutely create a task template that already has your event attachment. Use a rule to create a task from that template when the type of request is “Event”. That ensures the file is in the task for your team. If you also need that file sent as an email attachment to the requester, that part isn’t supported natively.
If the attachment-in-email is a must, the common workaround is hosting the file in a shareable location and linking to it in the confirmation or rule email.
