Portfolio milestone indicator wrong order

Unfortunately the problem still exists. Is there a solution available?

Hello everyone,

i am unsure about how to really make our portfolios better, so that our executives can easily get Information about a project, without having to look into every single task.

Currently we have 3 or 4 templates because most of our projects follow the same, or nearly the same, process. We set up Milestones, so that our executives can can just look at the portfolio and see what milestones have already been achieved, which are overdue or which are still to be done.
With that being said setting due dates for these milestones in chronological order is mandatory, so they will be displayed correctly in the portfolio view. But because our projects can last for a long time, you cant always pin down an exact date.

Long story short our portfolios look kind of messy. Does anyone have some good tips or experiences they can share with portfolio management. Or how to set milestones that are at the end of our projects further back if a process at the front of the project blocks the continuation.

This is my first topic in the Asana forum. Thanks to anyone reading and interacting. I will try to add a screenshot so you get what i mean.

I think a solution would be to make dependencies fixed rather than flexible.
But I guess there is no way to change this in the template, right?

Anyways I would just like to get some inspirations on the way other people use portfolios and dependencies for long term projects.

so apparently the problem exist for years but won´t get fixed.

My solution would be to set a due date for each milestone, make milestones dependent on each other and set the dependencies to fixed so when a milestone at the front gets its due date changed, the other ones also get set back and the portfolio won´t get messed up.
This works for our kind of progress at least.

@Ole_Andres It hasn’t been fixed. Concluding if won’t be is a bit premature if you ask me.

Adding your vote and voice - especially the why behind the request - helps Asana prioritise and increases the changes this will be developed.

We have a similar issue:
All of our Projects use the same Template.
Each section ends with a milestone. In our Portfolio we would like to see, which sections have been completed to compare Projects with each other.

This would be possible by sorting all Milestones by list view order. I understand, that not every team works that way.
So a simple “sort milestone order by” function should be able to take many different milestone approaches into consideration. e.g. sort by due date / creation date / list view order.

Like others, I’m frustrated by the default display of Milestones that don’t have a date. Does Asana have any plans to address this UX friction and make the display customizable? Being able to re-shuffle Milestones without dates would be ideal!

When creating a project from a template, Asana loads the tasks from top to bottom, thus making any milestone within that template out of order due to the default display using Creation Date. At the very least, can this be updated so that Milestones that are loaded from a template are displayed in the proper order? The current default settings feel slightly counterproductive.

  • Since a user is typically reading left to right, i noticed the milestone progress column progresses in the opposite direction (right to left). I tried to get around this by adding the milestones backwards (project complete first, approval received second, etc.) and was able to get the view to progress left to right.

    However when using a template with the milestones (which was built with the milestones backwards), the progression is flipped back to reading right to left.

    In the screenshot below:

  • green notation shows milestone progress where milestones was manually built into the project backwards to achieve left to right progression
  • red notation shows milestone progress from a template that had built-in milestones (which was originally built in backwards then saved as a template) … however it’s showing a right to left progression.

Any ideas on how to make all projects show milestone progression from left to right from a template would be appreciated. Thank you!

The only way to get left-to-right progression is to edit the template itself — delete the current milestones and re-add them in the desired order. Then, any new project from that template will follow that sequence automatically.

If you can assign due dates to your miletones, they will appear in ascending due date order.

But I strongly agree (posted long ago in this thread); a project’s Overview tab > Milestones sections does this, so why can’t the portfolio column?

You’re spot-on—when milestones have due dates, they do appear in ascending order in the portfolio Milestone progress column, which is great. But once any milestone lacks a due date, Asana defaults to ordering by creation date, which can feel random and out of sync with your project’s actual flow.

It’s inconsistent—because in the Project Overview tab, milestones without dates do display in the intended list order—making the Portfolio view feel less intuitive.

It would be fantastic if Asana offered an option to sort milestones in portfolios either by due date or by the order they appear in the project list.

Thank you! Yes. I did this, but unfortunately it’s too tedious to delete and re-add milestones in the correct order because i have links to milestones in subtasks (a reminder for users to check off a specific milestone when the subtask is completed since rules can’t apply to subtasks).

Would definitely love to see the portfolio milestone progress reflect the order of milestones in the project. Thanks so much!

Another vote for list order setting the milestone order in project view.

Another vote for listing portfolio milestone progress using the same logic as the project overview.

Another vote - I’ve just recently moved over to Asana, but regretting it now - I can see that so many simple feedback requests such as this are being left for 5+ years without being fixed!

I think what would be a temp fix is to have those milestones without due date appear at the end after the ones with a due date. I think this could mitigate the issue until a proper fix is embedded.

I personally make it a habit to always have a due date assigned to my milestone. It is part of the PM schedule baseline that is drilled in me. It helps me review expected vs actual on the plan. Having a due date will always make them appear in the correct order as Larry mentioned above.
