We are preparing the rollout of Asana in our company and are currently setting up all the rules.
We have identical tasks across a huge number of projects and we have automations for certain tasks that trigger an email upon completion of said task.
Is there any way to make the eMail include the project name by default, because otherwise I will have no idea which project the eMail is talking about if the project name is not showing.

Hi @Samuel_Michaels2 , why can’t you include the project name in the email’s body?
hi richard,
we are currently working on the project templates, so what I am looking for is an automated way to get the project name into the email.
What I want to avoid is having to tweak the rules for 200+ projects. It would be much better if we could address this in the project template.
Hi @Samuel_Michaels2, I think you will find that you will not be able to create External rules, such as the Send email via Outlook, in project Templates or Bundles because the rule is linked to your specific account.
So the only way would be to tweak the message in the email body, as I suggested.
However, I’m curious why you need an email being sent for tasks being completed - sounds like a lot of extra ‘noise’. FYI, task collaborators will get a notification in their Asana Inbox whenever a task is completed. And note that Asana can also send email notifications natively - check your Email notification settings, which are now fairly granular.
Hey Richard,
you are totally right. We will simply put the intended recipients as collaborators in the milestone fields and save that as a template.
I tested it and this works.
Unfortunately there is no email notification to the collaborators of a subtask when the subtaks is completed, yet they receive one when they have been added as a collaborator to said subtask.
We checked all the notification settings and everything appears to be in order.
That’s not expected - there is no difference between tasks or subtasks when it comes to collaborators being notified. Are you sure the collaborator or assignee was not the one who completed the subtask? In that case, they would not get notified.
Yeah we checked exactly that but unfortunately the other collaborators are not being notified
