How to manage opend days for calculating capacity

I’m trying to setup an effective capacity planning.

I would like to manage days users are off to recalculate the effort for a task out of this period.

This is for instance done with the saturday and sunday,

Here are a few practical workarounds I usually recommend:

  • Adjust weekly capacity in Workload
    Set the person’s capacity to 0 during PTO weeks or reduce it for partial-time off.

  • Create a “Time Off” task
    Add PTO tasks with dates + effort (ex. 8h/day) in a dedicated PTO project. Since the task requires effort, Workload reserves that time automatically.

  • Avoid weekend effort allocation
    If a task spans weekends, split it into smaller weekday tasks so effort is distributed more accurately.

  • For part-time members
    Lower their default weekly capacity so planning starts from a realistic baseline.

Create a “Time Off” task:

I’ve already created a complete project for leave where each member creates a task and adds effort to it. However, this effort is cumulative with that of tasks scheduled during this period. Therefore, there’s no recalculation of effort on regular tasks, and the user is overloaded.

Avoid weekend effort allocation

This isn’t a problem, as it’s possible to define a work plan in the project settings, specifying that Saturday, Sunday, and other days are not considered working days. However, this setting is applied every week, and doing it at the project level rather than the user level isn’t what I want.

For part-time members

Yes, I’ve already done this without any issues, but it’s not clearly related to my problem.

Adjust weekly capacity in Workload

I think this is the solution I’m looking for. But I haven’t figured out how to do it.
I see how to adjust a user’s capacity for an ongoing period, but not for just a day or a week.
I would be very interested to know how you handle this.

Thanks for the clarification. The closest option in Workload is to adjust a person’s capacity for a date range, which can represent time off or reduced availability. Asana doesn’t currently support changing capacity for a single day or week independently from the ongoing period, so the best workaround is to set the person’s availability for the absence period rather than using a project-level schedule.

If a person’s out of office is set in their profile, Asana can show that time off automatically in Workload and capacity plans. It won’t stop tasks from being assigned, but it will show a conflict warning when work overlaps that period.

It will appear with hash lines for OoO dates allowing you to adjust dates for tasks during their PTO.
