Hi, I am new to Asana and have been asked to create a workflow - the flow has various elements and im trying to understand the best way to create it. IE we receive the request via a form - we need this to be added to our workflow - which has to follow ie start with information, this in itself has various items to complete before it moves on, however moving on will not be dependant on all these actions being completed, but when a particular one is then it will move on to a different person then to do the next step ect. But the remaining information task will stay with the original assignee . I hope that makes sense ? What is the best way to achieve this?

Here’s one way to set this up:

Intake: Create a dedicated intake project and connect your Form to it. Each submission becomes a task with the necessary fields already populated. You can start by using the Asana-created work intake template.

Workflow stages: Add a single-select custom field (e.g., Stage) with values such as Intake, Step 2, Review, and Done. This allows the parent task to move through the process independently of its subtasks. Pro tip: Group your project by the Stage custom field for easy tracking.

Checklist: Create subtasks for each required information item and assign them to the original owner. These can be completed in parallel and automated via rules. (When a new task is added to a project → Add subtasks, you can also add conditions depending on single select custom field values, such as the type of work)

Automation: Create a rule such as: When “Ready for Next Step” is checked → Assign task to Person B, update Stage to “Step 2”, and optionally add followers or a comment.

Continue parallel work: Any remaining subtasks stay assigned to Person A, allowing them to continue working while the parent task advances to the next stage.

For this step, I would recommend using a task type instead of a single-select field, and then group by it. No need for using Sections and numerous rules to ‘sync’ it all up.
