I’m hoping to use Asana to manage a small inventory of education/workshop supplies (too small to warrant purchasing a separate inventory management system).
My team has set up a form for new supply requests and I’ve created custom fields for each product to show initial supply, how much of the product is being requested in the current request, current inventory/supply, and a minimum stock that we should have on hand.
What I’d like to do is set up a rule to have a new task created (submit a supply order) when current stock falls below minimum stock, but the trick is that it would need to be triggered by the Column Sum as opposed to the numbers within each task. (see screenshots)
You currently can’t. Within the project, Rules can’t look at column sum. Potentially you could have that sum go up to a Portfolio and use Portfolio Rules up there, but there isn’t a condition on Number fields in Portfolios yet.
So you are kinda stuck at the moment.
My recommendation: a daily routine, as a task, with clear instructions, so someone can go through different projects and check values…

How about this idea, but it’s just an idea. I didn’t confirm whether this is done well.
Make a ‘rollup task for this section’.
Multi-home your original tasks (2nd floor…/3rd floor…/PeggyID/TEST MS ALT) to ‘rollup task for this section’ and the original project.
Make a formula custom field named ‘Rollup BUSbooks currently inventory’ to roll up ‘BUSbooks currently Inventory’ (use rollup()).
