Best way to accomplish internal project plan with customer facing views

:light_bulb: Hello,

Implementation Managers need the ability to have an internal project plan with internal tasks that we do not want customers seeing. We also need the ability to share a customer facing version with the client that only displays select tasks to them. We have multiple project plan templates in use based on customer size, complexity, & timelines but need to ensure this is simple for IMs.

I’ve seen suggestions to create a custom defined field (customer facing Y/N) & create a new filter using that. This doesn’t work as customers can still access the full project plans.

I’ve seen the suggestion to use the multi-homing functionality where there would be 2 project plans (internal & customer project plan) & perhaps use an intake form for automation to kickoff the creation of the 2 project plans. My concern here is that seems very complicated with a lot of risk.

Is there a better way to accomplish what I am trying to do so this is not complicated for IMs? They could be managing 20 projects at one time, some have 30 day timelines, some have 6 month timelines. I need this to be scalable & straightforward to use & maintain.

Thank you!

Welcome, @Sarah_Sargent,

In order to minimize duplication, multi-homing is usually the best choice, though as you say there’s some complexity, and some risk of exposing an internal task externally.

You could mitigate this by just displaying the Projects column in List view so it’s very apparent which tasks are multi-homed to the client-facing project. Also, rules for the multi-homing can help, and a custom field can help to fire the multi-home rule automatically, which may simplify for users and make it a little less risky. I haven’t considered it deeply yet, but perhaps using custom task types (one for internal, one for client-facing) could help make things more explicity (or more confusing!).

Thanks,

Larry
