My boss has recently tried to get me to support on making our work a little more efficient. Currently, we have a project set-up with any work we are considering. For example, if we are considering working on CASE Y, we add it as a task and comment updates as the case progresses. However, there are many alert systems that exist in the world that could allow us to automate that comment process.
The workaround I was able to come up with was to
set up alerts to an email, mine for example
add a comment to relevant task, which pings my email with a notification
Push “REPLY TO” on that comment email, which generates an email address that if sent to, will comment directly on that task
Set up an auto-forwarding rule in my email on those alert emails to FORWARD to that email
this is a somewhat clunky process, so I’m wondering if there is a quicker or better way. Obviously, if the alert system allowed me to input the asana comment email directly, that would be ideal, but it sends to the email associated with the account of the alert system.
If anyone has any thoughts or tips, I’d really appreciate it!
What email platform are you using? Asana has native integrations with Outlook and Gmail that you may be able to use for your purposes. With these integrations, you can create and add comments to tasks directly from your email.
If you are looking to notify others of when a comment is added, then you would want to add them as collaborators to the task. Then they will receive the notifications from Asana (in the Asana Inbox and through email depending on their notification settings).

Ooo, thank you! We are currently using gmail and may potentaily move to Outlook. I was looking at the examples of integrations that it shows me, and it looked like it only went FROM Asana action TO an email action, not FROM email action TO Asana action, so this is super helpful. I will take a look
@Christina_Schuler_da You will need to install the add on for Gmail. Then you will get an Asana icon in your Gmail. Click on the icon to get the options to create a new task or add as a comment.
You are correct that the rules in Asana will only send out emails through Gmail. The add on will send information from gmail to Asana.
