Allowing the team to use a new product process template and personnalise it to each new product (beginner user)

I recently started with Asana and I am in charge of process optimization.

I would like my teams to follow a step by step process which describes the production of a new product, from conception to launch.

For this, I created a project template which details each task in sections and with dependencies called “Nouveau produit”.

My problems are :

    • if i want to create a new product, called “Product 1” for instance, what must I do for my teams to have all their Product 1 tasks assigned automatically ? For now it looks like all I can do is copy/paste the project and rename it “Product 1” instead of “Nouveau produit”.
    • Some subtasks of this template are generalist, such as “Landing page validation” or “Online setup”, as this template should be use of any new product. How do I make sure that tasks are differenciated by Product ? My team may have several products processes at the same time. How do I make sure tasks are named for instance “Product 1 - Landing page validation” and “Product 3 - Online setup” ?

Apologies for these basic questions, yet the tutorials I could find on Youtube only describe how to setup the task lists and processes. Somehow I cannot find the way to use these processes regularly to personnalise them to each product automatically via userform.

In the models, it is possible to define roles, and to assign the tasks of the model to these roles. When using the template, Asana asks you for the people associated to the roles, and the tasks are then automatically assigned to the right people. Is this what you want to do?

The tasks are “differentiated” by the fact that they will belong to different projects. So you will have “Landing page validation” for project A but also “Landing page validation” for project B, and Asana will show you the A or B, without having to rename the tasks.
If you still want to rename all the tasks, then this is not proposed by Asana, you have to use the Flowsana integration or make a code via the API, which we know how to do with @Bastien_Siebman if needed.

Let me rephrase. Right now I have the process to create new products, lets call it “Process”, and I would like my team to use it. It is for now a project.
If I want my team to create “Product A”, do I have to duplicate “Process” and rename it “Product A” for my team to have their “Product A” tasks assigned?
Can I set instead a userform to start the process, with a “Single line text” module for “Product Name”, so that when I submit the form, a new project template called “Product A” is created based on the template “Process”?

Our goal is to have our teams directly driven by their page “My Tasks” for the day, the week and beyond. That means all of their tasks appear here by deadline for all projects, in one page.
If we have products A and B in the pileline, how can my teams know the task “Landing page validation” is for Product A and “Online setup” for Product B ?

I do not necessarilly need to rename all tasks, but it could be practical to have in the My Tasks page each product task named “Product A - Landing page validation” // “Product B - Online setup” using the name of the product in the userform.

Am i clearer?

First, you would want to use the Project Templates feature:

A simple solution to disambiguate tasks with the same name would be in each user’s My Tasks (and any projects too), toggle on the List view column for Projects so the project name is always seen adjacent to every task. In My Tasks > Customize > Fields > Projects, and in projects, Show fields > Projects
