Adding guests who have emails in our domain occupy a seat

We are having issues when adding guests to a task. Only two departments within our university use a paid version of Asana. It seems when I add someone to a task or project who currently does not have a seat within our plan, It prompts them to log into Asana, and we have noticed they automatically occupy one of our “empty” seats. Is the issue that all the emails we are trying to add as guests also are @twu.edu?

Hi @Lauren_Hendershot , yes, that sounds likely the issue (assuming your Asana organization is based on the domain twu.edu).

In your case, a ‘Member’ is considered anyone invited with a @twu.edu email address, which would occupy a paid seat. Anyone without a @twu.edu email address would be considered a ‘Guest’ user, that would not occupy a seat.

However, being a University, instead of setting up your Asana instance as a ‘Organization’, you may be better setup as a ‘Division’. Best to contact the Asana Sales team to provide you with options.

Thank you, Richard! I think we might need to revisit this. I believe our account is set as an organization, and we have “Teams” for Advancement, Central Marketing/Communications, and the Chancellor’s Office. You suggest that each of these should be its own division, correct?
