As an Assistant Director managing Marketing & Production workflows, I need to automate actions based on who creates tasks in our Marketing Intake project. Currently, there’s no way to trigger rules specifically when certain team members create tasks.
Use Case:
When specific photographers/videographers create tasks, I need to automatically route them to different reviewers
Need to apply different templates or custom fields based on who creates the task
Would streamline our production workflow by reducing manual task management
Proposed Solution:
Add a new trigger option in the Rules builder: “When task is created by [specific team member]” with the ability to select team members from a dropdown.
This would greatly enhance our marketing production workflows and help us better manage our network videography and photography requests.

Right now, Asana doesn’t have a built-in rule trigger for “task created by [specific team member],” so unfortunately you can’t automate directly based on the creator field. That said, you can get close to the same outcome with a workaround:
1. Use a required “Submitted By” custom field
-Make it a single-select dropdown listing your team members (photographers, videographers, etc.).
-Set the field as required in your intake form or project template so it’s always filled out.
2. Create rules based on that field
-For example: If “Submitted By” is Photographer A → Assign Reviewer X, Apply Template Y.
-You can chain multiple rules for different team members.
3. Automate the field population (optional)
-If you use an external form or tool like Zapier/Make, you can detect the creator’s email from the submission and auto-set the “Submitted By” field so they don’t have to choose themselves.
Thank you for your response. I do have quite a few custom fields already and it is becoming a little…unsightly to look at the data. I would prefer not to need to make a new custom field, but alas if I must do that then I will.
